- Scanned documents capture
Open Bee™ Scan runs in the background a "hot folders" service that automatically captures all paper documents that are scanned directly into your Windows file structure.
- Manual documents indexing
Open Bee™ Scan displays all captured documents and enables you to index documents from your workstation using different criteria such as customizable drop down lists (customers, products, suppliers...), text, number or date fields.
Alternatively, Open Bee™ Scan enables you to index documents right from your MFP's touch screen. Enter few index fields so as to "tag" each scanned file with the information you require to search for it later on and Press the “Scan” button to automatically store your documents on your preferred Document Management Platform.
- Automatic documents indexing
With its powerful algorithm for intelligent document classification and selective processing approach, Open Bee™ Scan enables to automatically archive semi-structured documents (invoices, purchase orders, waybills, etc.) and forms (questionnaires, tests, insurance forms, tax returns, etc.) based on key information or barcodes that are contained in the documents.
Open Bee™ Scan performs optical character recognition (OCR) on your documents, converting scanned document images to Searchable PDFs. It enables then to search for recognized text in the document, copy recognized text in the document to another document or program.
Open Bee™ Scan performs documents conversion into 100% industry-standard PDF, PDF/A files, that are fully compliant with other PDF viewers. It can also convert all scanned files into fully-formatted, editable Microsoft® Word documents.
- Structured Auto-renaming and Storage of Files
Open Bee™ Scan auto‐creates the folders and sub‐folders and auto‐name documents using the information supplied by the user (or auto recognized by the system).
Open Bee™ Scan includes a routing service that seamlessly files documents -based on metadata, key word and tags applied or recognized during the indexing process- to their storage location (specific sites, folders and libraries of your document management solution).
